Deal Stages & Pipeline
Customize your sales pipeline with deal stages.
Deal stages define your sales pipeline. Facilities Finder provides default stages, but you can customize them to match your sales process.
Default Stages
Your account starts with these default stages:

Open vs. Closed Stages
Open Stages
- Represent active deals in your pipeline
- Appear in the kanban board
- Included in pipeline value calculation
- Deals can move forward and backward
Closed Stages
- Represent completed deals
- Closed Won = Successfully closed deals
- Closed Lost = Deals that didn't close
- When moved to a closed stage, the deal is marked with a "closed at" timestamp
Using the Kanban Board
The home dashboard shows a kanban board with:
- One column per open stage
- Deal cards showing name, value, and contact
- Drag and drop to change stages
- Total value per column
Moving Deals
- Click and hold a deal card
- Drag to the target stage column
- Drop to update the stage
The stage change is logged automatically in the deal's activity timeline.
Stage Manager
Customize your stages using the Stage Manager:
- Open any Deal Modal
- Look for the stage dropdown
- Click Manage (or the gear icon)
- The Stage Manager modal opens
Creating a Stage
- In Stage Manager, click Add Stage
- Enter a name
- Choose a color
- Set whether it's a closed stage
- Click Create
New stages are added before closed stages in the pipeline order.
Editing a Stage
- Find the stage in the Stage Manager
- Click the edit button
- Change name, color, or closed status
- Click Save
Deleting a Stage
- Find the stage in the Stage Manager
- Click the delete button
- Confirm deletion
Note: You cannot delete a stage that has deals in it. Move deals to another stage first.
System Stages
The default "Closed Won" and "Closed Lost" stages are protected and cannot be deleted. You can edit their names and colors.
Pipeline Strategy
Keep It Simple
Start with fewer stages. You can always add more as your process matures.
Define Clear Criteria
Each stage should have clear entry criteria so you know when a deal should move.
Regular Updates
Update deal stages regularly. Stale deals in early stages skew your pipeline.
Use Closed Stages
Move completed deals to Closed Won or Closed Lost. This keeps your active pipeline accurate.
Reporting
Your pipeline data powers several reports:
Pipeline Value
Total value of all deals in open stages.
Deals by Stage
Count of deals in each stage (shown in dashboard stats).
Revenue Forecast
Projected revenue by month based on expected close dates.
Activity Trends
Recent activities across all deals.
